Job Description


We are seeking an enthusiastic Sales Administrative Associate to join our team, responsible for being the right-arm of our expansion initiatives - currently our short-courses and our online programming courses. These are initiatives that are entering their ramp-up growth stage this year.

Your role involves a mix of commercial, administrative and entrepreneurial tasks. You will be engaging with the customer directly, supporting the sales process of these two product lines, but will also be owning the administrative and operational coordination of these products with the different teams at Code for All_. You will be building and improving different processes with a clear ownership on the success of these product lines.


Your Responsibilities


  • Proactively engage with our leads from expansion initiatives (short-courses and online programming courses) to convert them to paying customers - Commercial function
    • Respond to 1-to-1 questions from contacts both before and after applying to our courses;
    • Utilize effective outbound sales strategies (email, phone, whatsapp) to upsell signal payments to our short-courses to full payment;
    • Proactively reach out to leads who have abandoned the checkout process to provide assistance and encourage upsell opportunities;
    • Take ownership of managing and presenting weekly acquisition online webinars, ensuring smooth execution and optimal attendance to drive acquisition efforts;
  • Own the administrative operational work of the expansion initiatives - Administrative function
    • Create and maintain accurate documentation, collecting candidate information to streamline administrative processes and maintain compliance;
    • Verify and reconcile payments, ensuring accuracy and compliance with established procedures;
    • Monitor and track applications for public funded programs, providing timely updates and support throughout the process;
    • Generate and issue certificates as required for public funded programs;
    • Facilitate seamless onboarding of students to our courses and address any pre-start questions or concerns to enhance their experience and promote retention.
    • Configure and maintain communication platforms such as Discords and Slack, facilitating operational onboarding for teams;
    • Facilitate the collection of feedback from classes, and analyze results;
    • Foster strong communication channels between administrative and pedagogical teams to promote student success.
  • Analyze and report on your performance - Growth
    • Monitor your outcomes and provide insights into your performance, assessing the effectiveness of different strategies and approaches.
    • Document processes and share best practices with team members to enhance overall effectiveness and adaptability.


About you


  • You are based in Portugal (ideally, you are based in Lisbon)
  • You (ideally**) have 1 year + of experience in** recruitment, customer support, sales or another valued customer-facing role. Tech-related experience is a plus.
  • You are a clear and confident communicator, with exceptional written and verbal Portuguese and English language skills
  • You excel in organization, maintaining structure and finding practical solutions.
  • Youve handled plenty of inquiries, such as calls and emails, in your work experience.
  • You prefer working autonomously and have confidence in your ability to learn independently.
  • You (ideally) have experience working with a CRM. Experience with HubSpot is a plus!
  • You also enjoy administrative work and having your own independence in managing and optimizing processes
